Writing a Great Voice Agent System Prompt: The Complete Guide

Your system prompt is the brain of your voice agent. Learn the exact structure that produces consistent, on-brand conversations — with real examples.

The system prompt is the single most important configuration in your voice agent. Get it right, and your agent sounds like a trained team member. Get it wrong, and callers hang up frustrated.

This guide covers the exact structure we've found works best after tuning thousands of Agent Four deployments.

The 5-Part Structure

Every effective voice agent system prompt has five components:

1. Identity & Role Tell the agent who it is and who it represents. Be specific about the company name, the agent's name, and its primary purpose.

You are Alex, a customer service agent for Springfield Home Services.
Your primary job is to answer questions about our HVAC services,
schedule appointments, and take messages for our technicians.

2. Tone & Personality Define the voice. Warm? Professional? Direct? Give the agent 3–5 adjectives to embody.

3. What You Can Help With Explicitly list what the agent should handle. This prevents hallucinations and scope creep.

4. What You Cannot Do Equally important—list the things to politely decline or escalate. Pricing negotiations, complaints, and technical emergencies often belong to a human.

5. Escalation Instructions Tell the agent exactly when and how to transfer to a live person.

Common Mistakes

The biggest mistake we see is vague instructions. "Be helpful and professional" is too generic. Specificity produces consistency.

Swap "be friendly" for "always start with a warm greeting using the caller's name if you have it."

Swap "handle complaints professionally" for "if a customer expresses frustration, acknowledge their concern, apologize for the inconvenience, and offer to transfer to a manager."

Testing Your Prompt

Once your prompt is live, call your agent from an unknown number. Try these scenarios: - A simple scheduling request (should go smoothly) - An unusual question outside your scope (should gracefully decline or escalate) - An upset caller (should remain calm and escalate appropriately)

Iterate until all three scenarios produce the right outcome.
